Outlook Web App | Open a shared mailbox in the Outlook web app

If you prefer to have your email and the shared email in the same window, use Option 1. In addition, after you complete this task, the shared mailbox and its folders are displayed in the left navigation pane each time you open Outlook Web App.

If you prefer to open the shared mailbox in a new window separate from your own email, use option 2. You will need to open the mailbox each time you sign into the Outlook web app. 

Option 1 - Add the mailbox to the left side navigation and access from your inbox

  1. Sign in to your account in Outlook Web App with your minnstate.edu credentials

    1. Student employees must access or open shared mailboxes from their staff email account

    2. Student senate officers can access student senate shared mailboxes from their student email account

  2. Right click on Folders and choose Add shared folder

  3. In the Add shared folder dialog box, type MPLS-the name or email address of the shared mailbox you would like to open, and then select Add.
    Note: You can only add mailboxes you currently have permission to access. 



    The shared mailbox displays in your Folder list in Outlook Web App. You can expand or collapse the shared mailbox folders. You also can remove the shared mailbox from your Folder list. To remove it, right-click the shared mailbox, and then select Remove shared folder.



Option 2 - Open the shared mailbox in its own window and manage mailbox settings

Using this option you will have the option to set up mailbox rules, auto replies and manage the mailbox settings.

  1. Sign in to your account in Outlook Web App with your minnstate.edu credentials. Office.com


  2. Click on your profile image in the upper right corner. If you do not have a photo displayed it will be your initials. Choose Open another mailbox




  3. Search the shared mailbox you would like to open.




  4. Once you have the correct email click Open. Be sure the mailbox starts with MPLS- as many other institutions have similar department email names.
    You will only be able to open the email if you have access to it. It will open in a separate tab.
